Our client is a leader in frozen food manufacturing for consumers and food service. The Office Administrator supports the office in overseeing the smooth and efficient operation of the design office, creating and adjusting procedures while overseeing their successful execution. Ensuring a comfortable and safe office environment, maintaining up-to-date and effective equipment and facilitating an overall atmosphere of support and team spirit are key responsibilities of this position.

Job Requirements

  • Copiers, Scanners, Computers (and accessories) – maintain the appropriate items and quantities of paper, toners, cartridges and attachments. Create a schedule to service and clean computers and other equipment on a regular basis. Advise all staff of the plan and manage it, adjusting when needed to make it successful.
  • Maintain office supply levels and our materials library. Order and replenish empty office supplies and manage delegation of weekly office clean-up, ensuring accountability and completion.
  • Reception - first to answer incoming calls, direct inquires and take message. Check voicemail regularly – when arriving each morning and an hour prior to leaving each evening, facilitating the return of calls and directing responses to requests from callers.
  • Ensure the office runs smoothly by improving current procedures or creating new for the following tasks: Utilizing staff interns, manage the pick-up, log-in, sorting and distribution of all mail/packages/deliveries on a daily or twice daily basis as required. Be certain out-going mail is handled on a daily basis in a timely manner.
  • Provide reporting support for all HR related activities
  • Compliance / legal requirements (Kiosks, audit support, etc.)
  • Writing and placing employment ads, as well as maintaining the applicant tracking database
  • Assisting in preparation of special events such as Year End Celebration and other office or company gatherings.
  • Assist with invoice review, audit and prepare for processing.
  • Other tasks as assigned.
