Perform administrative support tasks for all members of the global clients legal department and have a working knowledge of their duties. Responsibilities include a broad range of tasks involving confidential or technical information, such as compiling reports; creating detailed presentations; scheduling meetings and preparing agendas; responding to correspondence; researching background material; routing calls and other communications or legal documents; making travel and meeting arrangements; preparing and filing expense reports; and managing, updating, and modifying the legal department’s SharePoint sites and shared drives. This position supports staff in Europe, Asia and the US. This position requires software proficiency (and the ability to learn new software), internet research skills, excellent interpersonal skills, a sense of urgency, and the ability to work well with all levels of company management and staff. 

• Manage all administrative tasks and details for legal department team members (as assigned)
• Assist with establishing and overseeing administrative policies and procedures for the legal department globally
• Review and improve upon operating practices and procedures to increase efficiency or reduce costs
• Manage, update, modify, and expand the legal department’s SharePoint sites and shared drives
• Support and manage electronic and hardcopy files for legal department
• Support third party vendor billing processes and routing of invoices and payments
• Manage and maintain schedules, make travel arrangements, and prepare and file expense reports 
• Schedule and oversee events, visits, meetings, etc.
• Create, develop, review, or edit presentations, reports, agendas, memos, letters, and other documents, using word processing, spreadsheet, database, and presentation software

Job Requirements

• Associate Degree or College Diploma 
• At least 5 years Administrative Assistant experience, preferably supporting legal professional(s)
• Excellent oral and written communicator
• Excellent interpersonal skills
• Highly proficient in Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook 
• Experience generating reports, creating presentations, and managing data in spreadsheets and databases
• Experience handling third-party vendor billing
• Familiarity supporting personnel and operating in a complex corporate structures
• Experience managing travel and event planning, including experience with international travel arrangements (including passports, visas, etc.) 
• The ability to promptly respond to requests or needs for information or assistance 
• Strong multi-tasking and prioritization skills
• Demonstrated organizational/project management skills and proven problem solving, decision making, and interpersonal skills with experience providing complex, confidential administrative support
