Sr. Executive Assistant/Supervisor, HR Administrative Staff Responsibilities & Assigned Functions The Sr. Executive Assistant/Supervisor, HR Administrative Staff will provide executive administrative support to the Vice President and other HR leaders as well as supervise the administrative support staff in Human Resources. The Sr. Executive Assistant/Supervisor, HR Administrative Staff will be responsible for: Administrative Tasks (Approximately 70%) • Provides executive administrative support to the Vice President and other HR leaders • Maintains the calendars of the Vice President and other department leaders; schedules meetings and arranges for all related logistics including meeting set-up, agendas and meeting materials • Provides assistance such as research, analysis and documentation for special projects or annual HR initiatives requiring attention to detail and timeliness • Prepares written communication in the form of memos, proposals and presentations using Microsoft Office products • Provides proofreading and grammatical expertise for various executive reports, spreadsheets, letters and other documents • Answers calls to the Vice President and other HR staff when they are not available and takes accurate messages or handles the actions to fulfill the caller’s request • Handles all administrative responsibilities within established time frames; able to prioritize and effectively manage the workload of the administrative support staff • Coordinates all aspects of Officer-sponsored training sessions or other events such as notifications, registrations, agendas, materials, post-event surveys, etc. • Handles confidential contract management for the department and review and payment of invoices • Oversees the completion of employment verification and other employment documents, assuring timely and accurate responses • Oversees ordering of supplies and ensures adequate stock is available at all times; handles copier and fax maintenance and service request

Job Requirements

HS diploma required; degree a plus

Certifications in administrative support, Microsoft Office products, or other similar programs a plus

5+ years of experience supporting executive-level leaders

2+ years of supervisory experience

Knowledge and understanding of HR disciplines having worked in an HR department is highly desirable

Must be proficient with MS Excel
