Description

RemX is seeking an Executive Administrative Assistant/Office Manager (up to $65k) for a prominent Wealth Management Company in Buckhead.

The Executive Administrative Assistant/Office Manager will:

Provide complete administrative support for the CFO and Director of Institutional Clients:

· Arranging for all internal meetings, coordinating all logistics such as catering and conference room setup and breakdown

· Coordinating travel needs and blocking off appropriate time on calendars

· Prepare, print, and bind any requested meeting materials

· Storing all materials and notes in accordance with our client’s cloud-based filing system

· Complete AMEX and expense reporting

· Demonstrate efficiency in the client’s invoice management system by entering bill information correctly and on time in accordance with the schedule

· Provide task-level project support on an as-needed basis (e.g., mass mailings, binding meeting materials)

· Become cross-trained on other administrative support roles

Receptionist Duties

  • Open office doors and roll phones promptly at 8:30 each morning; keep lobby area neat and tidy
  • Operate a multi-line telephone console, answering all calls within three rings and routing callers to the appropriate party
  • Greet all guests in lobby as they arrive, offer a beverage, and notify employees of their arrival; provide parking validations and any additional information as guests leave
  • Review staff calendars and reset conference rooms and lobby area each day to prepare for incoming guests
  • Coordinate effectively with support staff and adhere to set schedules (e.g., for lunch, mail runs, vacations, breaks, etc.) to ensure guests, including via phone, are always attended to in a timely and professional manner
  • Distribute and collect mail and packages
  • Reset office café including unloading and loading the dishwasher each day

 

Job Requirements

The Executive Administrative Assistant/Office Manager Qualifications:

  • REQUIRED: 1-2 years similar experience in a Wealth Management/Registered Investment company.
  • Expertise in Outlook required
  • Proficient skills in the Microsoft Office suite required
