Description

  • Lunch Coordinator. This position will be Monday thru Friday from 10:00am – 2:00pm.
  • Lunch ordering (75%): 
  • Coordinating lunch orders for meetings. Arrange lunch meetings by placing the order, setting up the lunch and room and
  • cleaning up. There could be 15-20 lunch orders in any given week.
  • Meeting Planning (10%): 
  • Securing conference space, shop around for venues, handle catering requests, A/V and room requirements, lodging
  • requests, etc. Annual Board Meeting planning.
  • Travel / Expense (10%): 
  • Coordinate travel arrangements for the teams and new associates when needed. This includes booking flights, hotels, and
  • arranging car service when needed. Manage team expense reporting; itemize the expenses, scan and attach receipts to
  • report and supply missing receipt affidavit, if needed.
  • Other (5%):
  • •Prepare, maintain, and distribute documents and presentations; maintain confidential files and data; update the various
  • contact lists.
  • •Assist other departments with clerical work, meeting planning and projects, as needed.
  • •Order office supplies and send out UPS packages as needed.
  • •Coordinate work in the offices and kitchens and interact with the building manager as needed.

Job Requirements

•High school diploma is required.
•Minimum 3+ years of administrative experience including support to multiple individuals at a given time is essential.
•Excellent communication and interpersonal skills.
•Professional acumen. Ability to interact with individuals at all levels within the organization.
•Ability to organize and plan meetings at all levels and all aspects
•Professional demeanor and ability to maintain confidentiality
•Proactive with the ability to work independently and with minimum direction
•Must be able to multi-task and prioritize needs of multiple individuals to ensure needs of all team members supported are met in a timely fashion
•Must be comfortable with Microsoft Office programs: Word, Excel and PowerPoint; As well as expense systems (Concur preferred)
