    2. Match purchase orders and vendor invoices within the accounts payable system.
    3. Create weekly check run batches.
    4. Prepare and process accounts payable checks, wire transfers and ACH payments.
    5. Monitor monthly payments of utility, mortgage and real estate tax invoices to ensure timely and accurate payments.
    6. Research and correct invoice discrepancies.
    7. Sort, organize, process and file invoices, statements, and reports.
    8. Manage the monthly closing of accounts payable module and posting to general ledger.
  2. Ensure compliance with statutory regulations such as W9, 1099, and Sales & Use tax.
  3. Establish and monitor CAM allocations and assist with year-end CAM reconciliations.
  4. Develop, implement and maintain the accounts payable platform, conceivably to include identification and implementation of a new accounts payable module.
  5. Ensure company policies and procedures with respect to accounts payable operations are enforced.  Continually review processes to ensure adequate controls and efficiency.
  6. Provide general assistance and support to the Controller.
  7. Prepare ad hoc reports and financial analysis as may be requested or required.
  8. Assist in the preparation of various departmental annual budgets.
  9. May support the transfer of utilities to customers’ (move-in) and/or Company’s (move-out) accounts, and act as liaison between Company and utility companies for any issues which may arise.
  10. Responsible for administrative functions such as creating and maintaining department files.
  11. Assist with various vendor management issues, including new vendor set up, resolution of billing inquiries/disputes, requests for information, and establishment of vendor credit lines.
  12. Identify ways to streamline processes and work as part of the team to implement solutions.

  • Perform the daily activities of the Accounts Receivable, Accounts Payable, Inventory, Credit & Collections, Sales Tax and General Ledger functions, as needed. 
  • Assist in the implementation of projects to improve accounting procedures and processes 
  • Assist in the development of annual operating expense budgets and the monthly analyses of the same. 
  • Develop and maintain documentation of accounting policies and procedures 
  • Prepare reports, schedules, analyses, and provide documentation in support of audit requirement

We are seeking an AR Collections Specialist to join a growing engineering and consulting services firm located in Somerset County,  This is a great opportunity in a growing company!

The successful candidate will be responsible for collections and processing of accounts receivables, will assist in various accounting functions, and will be an integral part of our accounting team.   

SALARY=$45-540k WITH EXCELLENT BENEFITS, 401K AND PAID TIME OFF!

  • Gather and prepare accounting documents required to enhance account receivables collections.
  • Set up and maintain accounts receivable files and other financial records.
  • Collections outreach to clients through outbound collection calls and email.
  • Follow up on past due balances and document collection efforts.
  • Research and negotiate any chargeback claims.
  • Prepare documentation for credit transactions.
  • Prepare documentation for posting of receipts and charge backs to client accounts accurately and on a timely basis.
  • Investigate and respond back on a timely bases regarding payment disputes.
  • Process credit memos for any adjustment such as shortage, price discrepancy, currency adjustment, uncollectable write-offs, duplicate invoices.
  • Maintain thorough, well organized account receivable files following firm accounting protocols.
  • Reconcile and adjust various general ledger accounts as appropriate; reconcile bank statements.
  • Compile data and prepare required reports.
  • Assist with preparation of financial statements.
  • Assists in month end and year end closing.
  • May prepare regular periodic and special accounting reports as requested by accounting leadership.
  • May prepare, verify and process invoices and code payment documents.
  • May handle other responsibilities as needed.
