RemX Irvine is recruiting for an Administrative Assistant/Receptionist for our client located in Santa Ana.  This is a company that is growing rapidly and looking for someone who is dependable, reliable and committed to this role.  Temp or Temp to Hire Offering $20.00-$25.00p/hr.

 

Administrative Assistant/Receptionist Duties:

  • Assists the corporate and shared services team with HR and communications duties including:  Maintaining employee files, Planning employee activities and events, Support on-boarding of new employees at corporate office, Support recruiting efforts by posting requisitions, communicating with candidates, and scheduling interviews
  • Creation and dissemination of employee communication materials
  • Maintaining communication boards throughout the office
  • Maintain reporting and analytics tools
  • Assists the corporate and shared services team with administrative duties including:

Managing calls, coordinating meetings, Copying & scanning, Outgoing mail and incoming mail distribution

  • Ordering office and break-room supplies
  • Maintaining a clean and pleasant work environment
  • Travel & expense management
  • Create reports and presentations
  • Manage vendors
  • Other administrative support as requested

Job Requirements

Administrative Assistant/Receptionist Requirements:

  • Must be high energy and have a genial personality with ability to easily handle one-on-one interface with employees, executives, and customers via phone or personal contact
  • Excellent verbal, written, and interactive communication skills with all levels of employees, management, customers, and business partners
  • Must be self-motivated and display initiative in organizing and completing assigned tasks
  • Proficient with Microsoft Office Suite including PowerPoint, Outlook, Word, and Excel
  • Experience working with travel and expense systems, SAP Concur preferred
  • Experience working with HR systems, ADP and Cornerstone preferred
  • Experience working with document management systems, Laserfiche preferred
  • Able to rely on instructions and pre-established guidelines to perform the functions of the job
  • Problem solving skills
  • Ability to learn and navigate software programs, run reports, and maintain accurate records
  • Ability to multitask and manage multiple priorities timely and efficiently within a rapidly changing environment
  • Organization skills, with emphasis on attention to detail
  • Understanding of confidentiality
