Administrative HR Assistant:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Will assist HR department with managing employment matters for temporary staff.

  • Will be responsible for assisting with daily and weekly payroll for temporary personnel
  • Assure proper documentation has been received from employment agencies on their staff
  • Assist management with reporting or any other administrative duties assigned.
  • Responsible for maintaining of personnel files, ensuring accuracy of active/terminated files and contents.
  • Assists in Management with projects
  • Adherence to all Good Practices, Company Policies, Code of Conduct and Safety procedures.
  • Administrative tasks which includes filing, copying, faxing, scanning.
  • Able to assist with Travel arrangements for office staff
  • Administrative duties such as clerical work, filing, letter/document writing.
  • Responsible for front desk activities and greeting clients
  • Serve as the administrative liaison between customers and internal staff as needed.
  • Support all mail and direct mail campaigns, including coordination with vendors and appropriate team members; recognition of gifts; monitoring of campaign performance, costs associated with the campaign, and strategic planning of campaigns, ensuring organization activity is integrated throughout the campaign.
  • Must be bilingual (English/Spanish)

  • Provide exceptional customer service
  • Responsible for order processing, collecting stock location orders and printing delivery and pick-up requests
  • Assist with tracking/reporting inventory through a computerized system
  • Detail-oriented and capable of noticing small errors on orders
  • Capable of managing time effectively and multi-tasking as necessary
  • Learn and understand manager needs
  • Assist senior management with various reports and other projects.
  • Must have general knowledge of Microsoft Office
  • Manage and communicate confidential information
  • Bilingual English/Spanish is a MUST
