The specialist monitors both inbound and outbound calls for division in assessing and monitoring for quality assurance.  The specialist monitors documents received and processed by the Document Management team for adherence to company standards

  • Maintain quality standards, reviews all outgoing applications, documents inspection results, and continually updates job knowledge to provide solutions.
  • Conducts reviews through recorded calls and/or completed work by document management team. Immediately report any errors or omissions to ensure that an internal fact-finding effort is conducted and that an appropriate response/follow up to the incident occurs to correct the discrepancies.
  • Identify trends and patterns, best practices, and make recommendations for improvements in service delivery.
  • Assure the timely, objective and comprehensive investigation of error incidents, including the conduct of internal fact-findings, and response/follow up to those incidents
  • Assists in determining, documenting and creating reports that present a holistic view of the performance of the scheduling team, their quality metrics and overall trends.

You will need experience building relationships, overcoming objections and negotiating timelines to return appropriate documentation with Providers offices within specified timelines and goals.  You will need the ability to communicate clearly while articulating potential challenges or risks to achieving goals to both internal and external team members.

SUMMARY OF DUTIES & RESPONSIBILITIES

  • Place outbound calls to Provider offices with the goal of retrieving missing documentation via a fax or an on-site appointment.
  • Return missed calls to the Provider the same day of the missed call.
  • Follow the  script as outlined in training.
  • Clearly and consistently document outcome of communication with Provider office in assigned tracking tool.
  • Complete HIPAA; Fraud, Waste & Abuse; and Medicare training requirements – maintain all aspects of medical documentation compliance and security
  • Escalate any situations in which there is Provider abrasion to the Supervisor.
  • Additional duties as assigned
