Part-Time Executive Assistant / Office Manager
Location: New York, NY 10018 (Herald Square)
Schedule: Tuesday, Wednesday, Thursday from 9a-5p
Reports To: Vice President of Sales
Type: Contract through the end of October (there could be a possibility it could lead into permanent and even full-time)
Summary
We’re seeking a highly organized, proactive, and resourceful individual to serve as a Part-Time Executive Assistant / Office Manager. This on-site role supports senior leadership while ensuring smooth day-to-day operations of the office. The ideal candidate thrives in a fast-paced environment, anticipates needs, and brings a high level of professionalism and discretion to every task.
Responsibilities
Executive Support
- Provide high-level administrative support to the Vice President and senior team
- Manage calendars, schedule meetings, and coordinate domestic/international travel
- Prepare reports, presentations, and correspondence
- Handle confidential information with discretion
- Anticipate executive needs and proactively manage priorities
Office Management
- Oversee general office operations, including supplies, vendors, and facilities
- Coordinate logistics for meetings, events, and visitors
- Support remote satellite office needs, if applicable
- Assist with onboarding and team support activities
- Occasionally lift or move items (up to 20+ lbs) and manage office inventory
Required Qualifications
- 5+ years of administrative experience supporting VP-level executives
- Excellent verbal and written communication skills
- Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Exceptional organizational skills and attention to detail
- Ability to manage multiple tasks independently in a fast-paced setting
- Professional handling of sensitive and confidential information
- Strong initiative and customer service mindset
