Responsibilities:
- Prepare and enter all employee attendance records and timecard information, on HRIS database. Process and print payroll reports and checks. Report payroll figures to Accounts Payable for posting. Prepare manual payroll checks as needed. Complete all forms required by law for employee information (i.e.: Unemployment, wage verification, 401(k) loan and withdrawal applications, etc.)
- Assist employees with benefits enrollments
- Ensure timely and accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.
- Update payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, job titles, and department/ division transfers.
- Develop and maintain systems to accurately process payroll transactions (e.g. salaries, benefits, garnishments, deductions, taxes and third-party payments)
- Ensure compliance with federal, state, and local laws by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
- Maintain employee confidence and protect the company from liability by ensuring the confidentiality of employee personal and payroll data.
- Maintain benefits program files. Ensure that qualifying employees are offered all benefits on schedule and appropriate payroll deductions are made. Reconcile benefit invoices against payroll deduction records.
- Ensure that terminating employees are offered COBRA and that payments are received in a timely manner.
- Submit 401(k) contribution and employer matching payments to plan provider.
- Maintain compliance with 401(k)/ERISA plan design and regulations, provide employees with enrollment and educational materials, and provide annual census date to provider.
- Participate in annual 401k plan audit with outside auditor.
- Prepare and maintain accrued vacation schedule. Project year-end vacation payable.
- Notify supervisors of reviews due and follow up to ensure reviews are completed.
- Maintain employee/employer ACA data in HRIS system and ensure accuracy of annual reporting
- Support HR Manager with other HR administrative tasks and assigned projects, as necessary.
What we need from you:
- Proven experience as a payroll manager or similar role
- Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes.
- Excellent understanding of multi-location payroll and taxes, specifically CA and TX
- Familiarity with payroll software/ HRIS (Kronos/UKG) and MS Office (Excel)
- A keen eye for detail
- An analytical mind and solid math skills
- Outstanding communication skills (written and verbal)
- Organizational and leadership skills
- Ability to work cooperatively and contributorily on a team
- Solid experience using Microsoft Office products, particularly Word, Excel, and Outlook.
- Positive outlook and helpful disposition
- BS/BA in Business Administration, Accounting, Human Resources or related field; professional certification (e.g. CPP, CPM) is a plus
