Position Summary

The Executive Administrative Assistant provides high-level administrative and operational support to the Senior Vice President (SVP) of Hotel and Multifamily Real Estate Development. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is proactive, professional, and comfortable working with internal executives, external partners, consultants, and partners.

Key Responsibilities

Executive Support

• Manage the SVP’s daily calendar, including scheduling meetings, travel arrangements, conference calls, and site visits.

• Prioritize and manage incoming communications, including emails, calls, and correspondence, ensuring timely follow-up.

• Prepare, edit, and proofread presentations, reports, proposals, and confidential documents.

• Support meeting preparation — coordinate agendas, gather materials, and take/distribute meeting minutes.

• Anticipate needs of the SVP and proactively resolve administrative and logistical issues.

Project & Development Support

• Assist with tracking project timelines, budgets, and key deliverables for active hotel and multifamily development and operational projects.

• Coordinate with development partners and internal stakeholders to maintain project flow and communication.

• Maintain development files, contracts, and critical documents using company systems.

• Support due diligence and closing processes by organizing documentation and assisting with task tracking.

• Prepare internal project status updates and development pipeline summaries.

• Manage expense reporting, invoice processing, and vendor setup.

• Support development department onboarding, meeting coordination, and internal communications.

• Maintain confidentiality of all corporate, financial, and personnel matters.

• Represent the SVP and department with professionalism and discretion.

Job Requirements:

Qualifications

• Minimum 5+ years of executive administrative support experience, preferably within real estate, construction, or hospitality development industries.

• Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and document management platforms (Adobe Acrobat, etc.).

• Excellent written and verbal communication skills.

• Proven ability to manage multiple tasks with competing deadlines.

• High level of integrity, discretion, and professionalism in handling confidential information.

• Ability to work both independently and collaboratively across departments.

Preferred Attributes

• Experience supporting senior-level executives in a development or investment environment.

• Great project management skills

• Knowledge of real estate development terminology and project life cycle.

Now Hiring for a Concierge/Front Desk for a Residential Community – Contract to Hire

Schedule: Monday, Tuesday, Thursday, Friday and Saturday from 9:30 – 6:00 (Off days are Sunday and Wednesday)

Essential Duties and Responsibilities:

  • Answering high volume of phones – vetting messages and transferring calls, and offering refreshments to guests
  • Collaboration with Senior Concierge, Resident Specialist, and/or Leasing Consultants in coordinating resident events, including meetings, parties, cooking nights, movie nights, and other special events designed to enhance resident retention.
  • Organizing files
  • Facilitating and input service requests from tenants
  • Handling mail
  • Walking units
  • Provides information and resources by identifying and clarifying guest needs and desires; answering questions; giving directions and instructions; developing inventories of services; offering commentary of previous guests; managing and screening messages.
  • Guiding residents through the lease renewal process, providing comprehensive assistance to ensure their comfort and understanding of the renewal procedures.
  • Coordinating and executing resident move-ins and move-outs, setting clear expectations for residents regarding their responsibilities and obligations during their residency and upon their departure

You will educate, provide quotes, and sell any, or all insurance products. Knowledge & Skills Requirements
